GETTING STARTED
What is Business POS?
Business POS is a simple sales and inventory system for your shop. It helps you:
  • Track products in stock
  • Make quick sales to customers
  • Print receipts automatically
  • See daily sales reports
  • Manage staff permissions
How to Login
Step 1: Go to your POS website
Step 2: Enter your email and password
Step 3: Click "Login" button

USER ROLES - WHO CAN DO WHAT
Owner/Admin Role
ADMIN - Full access to everything
  • Can add/edit/delete products
  • Can create staff accounts
  • Can see all security logs
  • Can view all reports
  • Can change system settings
  • Can manage all sales
Manager Role
MANAGER - Most access, no staff management
  • Can process sales
  • Can edit product prices/stock
  • Can view all reports
  • Can print barcodes
  • Cannot create staff accounts
  • Cannot see security logs
Cashier Role
CASHIER - Sales only access
  • Can process sales to customers
  • Can scan barcodes
  • Can print receipts
  • Cannot edit products
  • Cannot view reports
  • Cannot change settings
IMPORTANT: Cashiers can only make sales. They cannot change product prices or view sensitive information.
HOW TO MAKE A SALE
Complete Sales Process
Follow these 6 simple steps to make a sale:
  1. Go to Sales Page - Click "Sales" in menu
  2. Add Products to Cart - 3 ways to add items
  3. Check Cart Items - Review quantities and prices
  4. Click "Complete Sale" - When ready
  5. Enter Customer Name - Type name or "Walk-in"
  6. Print/Download Receipt - Give to customer
PRO TIP: Always ask for customer name. Receipts look more professional with names.

Camera Scanning Instructions:
  1. Click camera icon in sales page
  2. Allow camera access when asked
  3. Point camera at barcode
  4. Hold steady for 2 seconds
  5. Product adds automatically
INVENTORY MANAGEMENT
How to Add New Products
Only Admin and Manager can add products:
  1. Click "Inventory" in menu
  2. Click "Add Product" button
  3. Fill these 4 details:
    • Product Name - What customers see
    • Price - Selling price in Naira
    • Quantity - How many in stock
    • Barcode - For scanning (optional)
  4. Click "Add Product" to save

Editing Products
To change product information:
  1. Go to Inventory page
  2. Find the product in list
  3. Click pencil icon
  4. Change any information:
    • Update price
    • Change stock quantity
    • Fix product name
    • Add/update barcode
  5. Click "Update Product" to save
NOTE: Every product edit is recorded. Admin can see who changed what and when.
When to Generate Barcodes
Generate barcodes for:
  • New products without barcodes
  • Products with damaged labels
  • When barcode scanner can't read current code
  • For better organization
RECEIPT SYSTEM
After Sale - What Happens
When you complete a sale:
  1. System shows receipt preview
  2. Receipt contains:
    • Your shop name and contact
    • Date, time, receipt number
    • Cashier and customer names
    • All items with prices
    • Total amount to pay
    • Thank you message
  3. Choose what to do:
    • Print Receipt - For customer
    • Download JPG - Keep copy
    • Close - Next sale
TIP: Always download important receipts as JPG. This keeps a digital copy if paper gets lost.
Finding Old Receipts
Need to reprint or check old receipt?
  1. Click "Receipts" in menu
  2. See all past sales in list
  3. Search by:
    • Customer name
    • Date of sale
    • Receipt number
  4. Click "Download" to save as image
  5. Click "Reprint" to print again

REPORTS & ANALYTICS
Available Reports
Admin and Manager can view:
  • Today's Sales - What sold today
  • Weekly Report - Last 7 days performance
  • Monthly Summary - Whole month data
  • Best Selling Products - Top 10 items
  • Slow Moving Products - Items not selling
  • Customer Spending - Who spends most
  • Stock Reports - Inventory status
How to View Reports
  1. Click "Reports" or "Statistics"
  2. Choose report type
  3. Select date range (today, week, month)
  4. View charts and numbers
  5. Print or export if needed
Security Reports (Admin Only)
Owner/Admin can see:
  • All System Activities - Who did what
  • Product Changes - Price/stock edits
  • Staff Actions - What employees did
  • Sales Records - All completed sales
  • Edit History - Product change counts
  • Security Alerts - Suspicious activities
SECURITY: Only the Owner/Admin can see security reports. This helps prevent fraud and track changes.
Exporting Data
You can export:
  • Sales data to Excel/CSV
  • Product list for stocktake
  • Receipt history as files
  • Reports for accounting
SETTINGS & CONFIGURATION
Shop Information
Admin can set up shop details:
  • Shop Name - Appears on receipts
  • Address - Your shop location
  • Phone Number - Contact number
  • Website - Your website (if any)
  • Receipt Message - Thank you note
  • Shop Logo - Your logo on receipts
Personal Settings
Everyone can change:

Adding Staff (Admin Only)
How to add new employees:
  1. Click "Staff" in menu
  2. Click "Add Staff" button
  3. Fill employee details:
    • First and Last Name
    • Email for login
    • Role (Cashier/Manager/Admin)
    • Password (at least 6 letters)
  4. Click "Register Staff"
  5. Tell employee their login details
SECURITY RULES:
  • Never share passwords
  • Each staff has own account
  • Always logout when finished
  • Change passwords regularly
Logging Out
Always logout when:
  • Leaving computer unattended
  • End of work day
  • Letting someone else use computer
  • Going on break
To logout: Click your name → Click "Logout"

Using on phone/tablet:
  • Turn phone sideways for better view
